Site Ownership Policy: Sites must have at least two owners assigned.

Inactive Site Policy: Sites with no activity for six months will be marked as inactive. Activity is defined as:
-SharePoint: Files are viewed, edited, shared internally or externally, synced, or pages are viewed or visited.
-Teams: Messages posted in Teams and standard channels, replied to messages, mentioned in messages, reacted to messages, conducted meetings (recurring, ad hoc, or one-time)
- Site Attestation Policy: Sites must be regularly certified as accurate and necessary. The cadence of the attestation requirement will be announced in Summer 2027.
Notifications
Owners and administrators of sites in violation of a policy will receive a Microsoft-branded notification from the OTS Call Center with instructions to correct the issue. One notification will be sent per month for three months. If no action has been taken within three months, the site will be placed in a read-only state. The OTS Call Center can reactivate a read-only site upon request.
Implementation Timeline
These policies will be activated on the following timeline:

Tuesday, June 16, 2026: Site Ownership Policy goes into effect

Tuesday, July 21, 2026: Inactive Site Policy goes into effect

Summer 2027: Site Attestation Policy goes into effect
In summer 2027, OTS will be implementing a procedure to permanently delete sites that have been a read-only state for six months or longer. Site owners and administrators will be notified before this procedure is implemented.
