SharePoint/OneDrive "Hero Link" Functionality and Link Management Changes

Body

In October 2026, Microsoft is rolling out changes to the structure and interface for creating and managing sharing links within SharePoint and OneDrive.

A sharing link is created in SharePoint/Teams and OneDrive by clicking on the Share or Copy link in either the SharePoint/Teams/OneDrive interface, or in the Office 365 application for a file saved online.

In the upcoming changes, Microsoft is introducing ‘hero links’ for each file. The single hero link controls access to the file, and is accessed when clicking ‘Copy Link, copying the file URL from the address bar, or sharing the file through another application, such as email.

By default, the link will be set to share only with people who have already been added to the document. Users can update the hero link to be broader or narrower in scope without creating a new link.

Functionality will also be added to ease managing access permissions, such as managing user permissions in bulk.

A screenshot of permission management in the new sharing link management interface shows multiple user names selecte with the option to change their permissions to 'view only'. A confirmation message is also shown confirming the permission change.

Additional sharing links will still be able to be created for specific purposes. New features for sharing links are being introduced, including the ability to name links for tracking purposes, as well as the option to create a password for files.

Existing sharing links will continue to work after these changes are introduced.

More information about these changes is provided in this video from Microsoft.
